The roster/waiver form must be turned in at check-in by each team. DO NOT MAIL THIS FORM, some of you have and it isn’t valid. If you mailed yours complete another and turn it in at check-in. The roster/waiver is located all over the website and you were sent a link in your confirmation packet that each team was emailed upon acceptance to the event. No team will be permitted to play without a signed and completed roster/waiver form. Each team must also present proof of insurance. Do not mail this form either … bring it to check-in.
Check-in Procedures
Check-in and the managers meeting will be held at Bakersfield Park under the large tent near the concession stand.

Check-in will take place on Friday July 17th from 6pm until 8pm and on Saturday July 18th from 11:00am until 4:00pm. Teams are free to check-in anytime within the stated hours. Because of the large volume of teams we urge teams to check-in early and avoid the late afternoon rush. Late afternoon on Saturday will be exceptionally busy.
The mandatory managers meeting will be held Saturday July 18th at Bakersfield beginning promptly at 5:00pm and it is our goal to be done by 5:30pm.
On Saturday July 18th from 11:00am until 8:00pm you will also be able to purchase your merchandise sales: T-Shirts, caps, pins, pin towels, etc.
Gate passes will be sold at check-in for $35 per adult for a weeklong pass (Kids 15 and under are free). For those waiting to purchase your gate pass at the gate the fee goes up to $40 per adult.

Action Photography
GTR Sports Photography will be our "official" photographer for this event. Unlike years past we will not be shooting all players and all teams. We will only be photographing those the pre-purchase. GTR has put together some specific packages for the AAYBA World Series participants. The packages are exceptional.
Many of you have already submitted your paid order - thank you. We are limited in you many teams and indiviuals that we can cover so if you want a photo package you need to get your order mailed ASAP. When you mail it would help to email us so we can expect your order and schedule your team to be photographed.

Each must present "proof of age" for each player on their roster at check-in. Any of the items below can be used for proof of age. Please don't call to see if we will accept photo copies - Photo copies will not be accepted.
Original government issued Birth Certificate - Government issued "Certified Copy",with government seal - Original passport - Original USA immigration card - Original Military issued ID card (issued by the appropriate Department of Defense).
Once checked in, you must have the verification documents used at check-in in your possession which must be presented on the spot in case of an age challenge. Failure to produce such documents will result in the player being declared ineligible (no exceptions), the game forfeited, and any previous game the said player participated in. If the player is found to be illegal, your team will be removed not only from the World Series but also for any future AAYBA event.
If your parents have lost or misplaced their original birth certificate, a state photo copy can usually be obtained from your local vital statistics or health departments for a small fee of usually $5 to $10 and most print them while you wait. All parents have these documents as they are required for obtaining a social security number which allows them to claim their child on their taxes, to register for school, to obtain a drivers license, etc. For some reason many parents like to claim not to have these items because they simply don't feel like digging them out. Those parents children will be ineligible for this event.
All teams must check-in as a team and not individually. Your team does not need to be in full uniform for check-in but they will need to wear at minimum, their jersey for the parade. When checking in have your team approach the table in a single line and in the order that you hand us their birth certificates. This day is very busy and quite stressful so if you don’t follow these procedures your team will be moved to the end of the line and the next team will be checked-in. We just don’t have time for your kids to be out of order and your paperwork not ready.
DON'T APPROACH THE CHECK-IN TABLE UNTIL YOU ARE 100% ORGANIZED AND READY.
Late arrivals: If your team has a player that cannot make check-in (Limited to three players), they may check-in at the field with tournament director on-site as long as they are checked-in prior to the start of your third game. We will only check-in players at 9:00am and 3:00pm at the tournament directors table on Sunday & Monday. The player must have their birth certificate with them or they will not be confirmed as an eligible participant. Players not checked in prior to the start of their teams third game will be declared “ineligible” for the tournament. Be sure that the late arrivals are included on your roster/waiver form so we can mark them off when the late player checks in thus making them eligible for the tournament.

SCHEDULES
Brackets will not be mailed in advance.
With so many teams dropping at the last minute with little or no regard for the other teams attending, schedules will not be available in advance … they will be given to the managers at check-in. You may visit www.aayba.com a day or two in advance of your check-in for a copy of an UNOFFICIAL bracket. When making your travel plans be sure to include the rain day. We will avoid a rain day if at all possible but sometimes this day is required to complete the event. However, the week will break down as follows:

Sunday July 19th & Monday 20th - Round one games begin starting times 8-9am. All teams will play a total of three games.
Tuesday July 21st - No games scheduled, however, in the event of inclemet weather games could be scheduled on this day. Teams will be seeded for round two and round two schedules will be posted online at www.aayba.com. Enjoy a day full of fun, rides, swimming, paddle boats, video arcades, miniature golf, carnival games, etc.
American Association All-Star Game Free for AAYBA World Series teams while supplies last
Wednesday July 22nd, Thursday July 23rd, and Friday July 24th - games resume, round two begins, starting times 8-9am.
Saturday July 25th - Games conclude, all teams will play one at least one game on this day, awards ceremony following each teams final game, all players on all teams will receive an award of some type. Teams need to meet at the tournament tent at the entrance to the upper quad of fields at the conclusion of your final game. Players must be present to receive their award.
Sunday July 26th - Rain date - games will only be played in the event of inclement weather.
Novelty Items
This year we will have available for sale World Series T-Shirts, hats, trading pins, and trading pin towels. Gate Admissions
Gate fees for our World Series events purchased at check-in are $35 per adult for a weeklong pass or $10 per adult for a daily pass, there will be no refunds for daily passes in the case of inclement weather.. Weeklong passes purchased at the gate are $40 - we urge you to purchase your pass at check-in. Children 15 and under are free.
Coaches, every year we have bunches of parents who are upset because they had no idea there would be a gate charge. Like all National organizations we must charge a gate fee, unlike most other National organizations we only charge the adults, the kids 15 and under are free.
PLEASE TELL YOUR PARENTS ABOUT THIS!!!!!!!!!!!!!
Parents that abuse our gate personnel will be removed from the park for the entire duration of the event. Excessive cases could result in your team being removed from the World Series.
Rain Delays
For weather related field status updates you may call our rainout number at: 1 877 698-3261 – or 1 866 321-4255 - when it answers press #1 and then enter 314 111-1456. Feel free to give this number to all of your parents.
Rain updates will also be posted online at www.aayba.com. However, the rain phone number will always be the more current of the two.
SCORE UPDATES
Scores will be posted at the fields and as soon as each time frame of games complete and online at www.aayba.com a couple of times throughout the day. It is highly recommended that someone from your team bring a laptop so you can stay current on the game scores. This is a great way for parents and grandparents who could not attend to stay informed throughout the week.
TEMPORARY MOUNDS
Some games in all age groups will be played on fields with a temporary mound. 13U & 14U pitchers should bring shoes without metal spikes for pitching on these fields. Pitchers will not be allowed to use metal spikes on these mounds.
FOOD OR DRINK
Coolers, outside food and drinks are permitted at most of the fields. The exceptions are Flower Mound High Scool, Lewisville High School and Lake Park Sports Complex where no food or drink may be brought into the ballpark. However, no alcohol, and no cooking is allowed at any of the parks.
Trading Pins
Pin trading begins the moment your boys arrive for check-in and concludes after the last team leaves the park after our awards ceremonies are complete. However this year on Tuesday (the scheduled day off), teams can trade pins while enjoying a day at Sandy Lake Amusement Park - click here for details . They trade at the opening ceremonies, at check-in, before and after games, at the hotel, at restaurants, at the pool, etc. Be sure to have some extra pins available for the siblings attending this event – it will keep them busy all week.
PLEASE REMOVE YOUR PINS FROM THE PLASTIC BAGS - THIS WAS A MAJOR, MAJOR PROBLEM LAST YEAR WITH PEOPLE LITTERING THROUGHOUT THE PARK.
PARENTS WITH CAMERAS
Parents are welcome to videotape and/or photograph their teams, however under no circumstance are they allowed in the dugout or inside the fence on the field. Parents ignoring this rule will result in both the parent and the manager being ejected from the game. This rule will be strictly enforced without warning.
Chairs, Tarps, and Tents
Lawn chairs are allowed, as well as shade structures as long as they don't block the view of others.
